Payroll System Setup & Training

We set up your payroll system correctly from the start and walk you through how to run it yourself. You get a working system and the confidence to use it without calling for help every pay period.

What This Is

This is a one-time engagement where we configure your payroll system, build it out with the right settings for your business, and then train you to run payroll on your own. The goal is simple. You walk away with a system that works and the knowledge to operate it without needing outside help every two weeks.

Most payroll platforms are straightforward once they are set up properly. The problem is that “properly” involves a lot of details that are easy to get wrong. Tax withholding rates, California wage rules, workers’ comp codes, pay schedules, and employee classifications all need to be right from the beginning. Getting them wrong creates problems that compound over time.

The Setup

We configure your payroll platform with the correct federal and California state tax settings, employee profiles, pay schedules, and any job costing or class tracking your business requires. For contractors and trades, that often means handling different pay rates for different job types, prevailing wage requirements, or crew-based structures.

The Training

Once the system is built, we walk you through the process of running payroll step by step. You learn how to add employees, process a pay run, handle overtime, and generate the reports you need. This is hands-on training, not a slideshow. You run a payroll cycle with us watching so you know exactly what to do on your own.

Why This Matters

Payroll mistakes are expensive in California. Misclassifying an employee as a contractor, withholding the wrong amount for state taxes, or missing a filing deadline all come with penalties. The state does not care that you are a plumber who is great at plumbing but never learned payroll administration. They just send the notice and the bill.

A lot of trade business owners either avoid putting employees on the books because it feels complicated, or they set things up themselves and hope for the best. Both paths lead to problems eventually. The first one puts your business at legal risk. The second one usually means something is configured wrong and you find out about it months later when a tax notice shows up.

The Classification Problem

California has strict rules about who qualifies as an independent contractor versus an employee. Many trade businesses default to 1099 because it seems easier, but the state applies the ABC test aggressively. If your workers fail that test, you owe back payroll taxes, penalties, and interest. A properly configured payroll system makes it straightforward to bring people on as W-2 employees.

The DIY Problem

Payroll software will let you enter almost anything. It does not stop you from setting up the wrong tax jurisdiction, applying an incorrect workers’ comp code, or skipping California’s mandatory sick leave accrual. These errors sit quietly until someone audits your records or an employee files a complaint. By then the cost to fix it is far greater than getting it right from the start.

What Changes

You stop guessing and start running payroll with confidence. The system is configured correctly for your specific business, your state requirements, and your crew structure. When payday comes around, you log in, review the numbers, and submit. No uncertainty about whether the withholdings are right or whether you are missing a required filing.

You also stop depending on someone else to run your payroll every cycle. Some businesses want ongoing payroll management, and that is fine. But many trade business owners just want to know how to do it themselves without making costly mistakes. That is what this is built for.

Independence

After the training, you handle payroll yourself. You know how to add a new hire, process a termination, adjust pay rates, and handle the end-of-year W-2 process. If you ever hit something unusual, you have a reference point and you know the right questions to ask instead of guessing your way through it.

Clean Records from Day One

When your payroll system is set up correctly, the data flows cleanly into your books. Payroll liabilities, employer tax expenses, and labor costs land in the right accounts without manual adjustments. That makes your monthly financials more accurate and your tax returns easier to prepare at year end.
